When parents are not sure about consent forms, identity documents, the process of submitting documents, and address proof, renewing a passport for their children while residing in the United States can appear tricky. If you’ve thought of the paperwork beforehand, it will be organized and decrease the opportunity for delays.

Understanding the documents required is the first step while planning an Indian passport renewal in the USA for a child below 14 years of age.

Minor citizen Indian passports are usually renewed via a process called ‘Passport Reissue’. Applications are made through the respective Indian Consulate’s teaching VFS Global Indian Consular Application Centre and as per the applicable Indian Consulate’s application document format. Requirements can differ depending on what the cause of the reissue is to the child and their situation.

Checklist of Documents for Indian Passport Renewal in USA

The following documents may be prepared in advance by parents and submitted with their child’s application:

1. Existing Indian Passport

Currently, the Indian passport is required in case of a re-passport application. At home, parents should ensure the original passport is available and photocopies of the appropriate pages as listed in the official checklist. Add pages with private information, passport validity, and, if applicable, observations and endorsements. Determine if an original passport is required with the application and carefully follow the instructions for submission.

2. Completed Online Passport Application Form

Parents have to apply for passport reissue on the official Government of India portal. Choose a mission office in India from the residential address of the family in the USA and register the information of the child correctly. Double-check the name, date of birth, address, and rest of the data before you send it. Print and sign the form from the completed form word for word as stated for the minor applicants. These may result in delays to processing due to errors or inconsistencies.

3. Recent Passport-Size Photographs

Indian Passport photographs are required to meet the passport photo requirements that a new passport application would have in the USA. Parents should check any requirements beforehand with regard to the size, background, face coverage, and clarity of the photographs shown. Make sure the face is clearly visible and the photo complies with the guidelines. Requirements for the photograph may vary from normal U.S. passport photos, so please verify the current requirements of the Indian passport before applying.

4. Proof of Current US Address

Parents must provide acceptable proof of the child’s current residential address in the United States. Accepted documents will vary, depending on checklist requirements, and may include a utility bill, ID card, driver’s license, or other acceptable address document as required in the checklist. Make sure that the provided address in the application is the same address in the evidence. Verify if there are any further documents required for the Indian address, change of address, or police verification, as appropriate to the child’s situation and consular needs.

5. Parents’ Indian Passports

Generally, the minor’s passport is reissued, and copying of both types of Indian passports is requested. Make legible copies of the relevant identification and other indicated pages as per the current VFS Global checklist. These documents can assist in identifying the parents of a child and establishing the child’s family information. If either parent is not an Indian citizen or the family situation differs from the typical application, see if there are other documents or statements that are needed.

6. Proof of Parents’ Legal Status in the USA

Parents might have to present proof of legal immigration to the U.S. Parents may need legal immigration documentation to the U.S. This can consist of a valid US visa, a permanent resident card, an employment authorization document, or a valid document. Ask if they need a color copy, notarization, or more pages. Make sure the submitted documents are current, valid, and legible; and confirm the current requirements before mailing the application.

7. Child’s Birth Certificate

A child’s birth certificate might be needed to provide proof of birth date, name, and parentage. Parents, please review the list of required items in the current checklist to ensure that it applies to applications and therefore it is required. Check the name and details of both parents and the child thoroughly against the child’s existing passport and application form. If there are any differences or changes in the information, make appropriate supporting evidence and submit based on what the consulate says about discrepancy documentation.

8. Notarized Parental Consent Form—Annexure D

This is Annexure D, which is an important document of parental consent for passports for minors with parental consent. The form should be fully filled out and signed by parents per direction. Please consult the local consulate to verify the required notarization and ensure signatures are submitted accordingly. Environmental factors or other special and unusual reasons may necessitate more statements or supporting paperwork before the application will be considered.

9. Fee Payment and Courier Documents

A parent is required to ready the necessary application receipts, payment confirmation, and courier documentation in accordance with VFS Global application instructions. Application fees and passport fees may differ for various types of applications and as per applicable. See acceptable payment terms, shipping of returned merchandise, and if there will be any shipping charges to cover from a prepaidas per label for the courier. Provide all required receipts and supporting documentation in the submission package and keep copies for reference for the child’s passport reissue application.

Additional Documents for Special Circumstances

There will also be a need for extra documents in certain family scenarios.

The consent of one parent is not given: Annexure C and supporting declarations are likely to be needed.
